CRM workflow automation, industry by industry

Every industry loses leads in its own places. A roofer's problem is a storm week and an inspection calendar; a real estate team's is a lead that reaches three agents at once, or none; a mortgage broker's is a borrower who needs months, not minutes. These pages explain how we design the CRM, lead routing, follow-up and booking for each one, and where a person stays in charge.

How to read them

Patterns and architecture, not client stories.

Each page walks through one industry's lead flow: where inquiries come from, how they reach one clean contact record, how fast someone replies, how appointments get booked, and what has to sync with the other software the business already runs. Each one has a workflow diagram with a text version, the pipeline stages we'd start from, and the questions buyers ask us.

They describe generic patterns, not anyone's account. They name no client and quote no results. Where we haven't delivered work in an industry yet, the page says so plainly and explains how we'd approach it instead.

The same rules run through all of them: one owner for every field, a prompt first reply, a person at every decision that matters, and logs you can read when something goes wrong.

GoHighLevel and CRM automation for roofing contractors

For roofers whose leads arrive in storm-week bursts and whose sales start with an inspection: one clean contact per lead, a fast first reply, inspections booked into a real calendar, and job status synced with the job software you already use.

What we build

  • Deduplicated capture from web forms, Facebook lead ads and missed calls
  • Speed-to-lead replies and missed-call text-back
  • Inspection booking with reminders, or an office callback when a person should decide
  • Job sync with JobNimbus-style tools and a pipeline view by lead source

Who it’s for

  • Residential and storm-restoration roofers running GoHighLevel, or about to
  • Office managers who chase inspection bookings by hand
  • Agencies building GoHighLevel sub-accounts for roofing clients
Industries · Real estate

Lead routing and CRM automation for real estate teams

For agents, teams and brokerages whose leads arrive from listing portals, the IDX website and ad forms at all hours: one contact per person, routing rules your team agreed to, a claim window with reassignment, and long-term nurture that hands a lead back to an agent when it wakes up. We haven't delivered an IDX or MLS integration for a client; we design the handoff.

What we build

  • Capture from listing portals, the IDX website and ad forms into one contact
  • Routing by listing agent, area, price range or language, then round-robin
  • A claim window with reassignment, and a daily view of unclaimed leads
  • Nurture tracks that stop on a reply and route re-engaged leads back to an agent

Who it’s for

  • Teams and brokerages routing leads to several agents
  • Solo agents whose follow-up depends on memory
  • Operations leads cleaning up a CRM that nobody trusts
Industries · Mortgage brokers

Consent-first CRM workflows for mortgage brokers

Consent-first CRM workflows for brokers and loan officers: secure intake, broker-led qualification, consultations with reminders and opt-in follow-up for borrowers who aren't ready yet. We haven't delivered a mortgage project, and the page says so. It describes how we'd approach one, and it isn't financial, legal or compliance advice.

What we build

  • Consent recorded before the first message, with an opt-out that stops every sequence
  • Minimal secure intake that keeps documents out of chat, SMS and email
  • Pipeline stages that follow the loan journey, with a broker deciding each step
  • Template approval, change control and an audit trail on every contact

Who it’s for

  • Independent brokers and loan officers with long lead cycles
  • Small brokerages that want consistent follow-up without extra staff
  • Operations and compliance leads reviewing how automation touches borrowers
